Workflow problems

The Confidence Before the Analysis

August 04, 20261 min read

You know the guy in the meme. Everybody does. Feet up, coffee mug that says "This Is Fine," telling me his workflow doesn't need a second look.

Meanwhile two floors down, the actual process looks like a dumpster fire labeled "Workflow v2.7 (Final Final)" — legacy exports nobody's allowed to touch, a daily checklist with three of five steps crossed out, and a sticky note that just says "Good luck."

I'm not picking on anybody here. I've walked into plenty of offices where the owner is 100% sincere when he tells me things are running fine — because from his seat, they are. He doesn't see the workaround his ops manager built at 6am on a Tuesday to keep the wheels on.

That gap — between what the owner sees and what's actually happening three layers down — is where Leak #2 (Fragmented Tech Stack) and Leak #3 (Owner-Dependent, Undocumented Processes) usually live together.

Be honest — when's the last time you actually watched your process happen, instead of just hearing that it's "fine"?
