I sat down with an owner a few months back who was proud — rightly so — of the spreadsheet his ops manager built to track every job in the shop.

Sixty-some columns. Color-coded. Beautiful, honestly.

One problem: only one person on the planet knew how to update it correctly. Everyone else just... guessed, or skipped it, or texted him directly instead.

That spreadsheet wasn't a system. It was a really elegant way of hiding how much the business depended on one person's head.

This is Leak #2 in disguise — the fragmented tech stack. Not because the tools are bad, but because nothing talks to anything else, and “the system” ends up living in someone's brain instead of in the business.
