CRM merges...

The Merge That Erased the Trail

October 18, 2026•1 min read

An admin was cleaning up the CRM, found two contact records for the same customer, and merged them — a genuinely helpful instinct. The merge tool kept the older record as the “primary” and quietly dropped eight months of call notes and email history that lived on the newer one.

Two weeks later, a rep walked into a renewal call with none of that context. He asked the customer basic questions he should have already known the answers to. She noticed, and said so, in a tone that made it clear she’d noticed.

Nobody did anything careless here. The admin was trying to tidy things up. The trouble is almost nobody actually knows what a “clean” CRM merge does to the history underneath it until it’s already gone.

Does anyone on your team actually know what happens to the notes and history when two contact records get merged in your CRM?
